
Begin with your project document list
Share your client or project documentation requirements with the equipment inquiry. Identify required languages, formats and review stages where these are already defined. The list should reflect your project rather than an assumed universal package.
Confirm the technical documents
Discuss equipment data sheets, supplier drawings, electrical diagrams and operation manuals as applicable. Clarify who reviews each document and which information must be agreed before production or installation planning can proceed.
Agree inspection records and applicable certificates
Specify the inspections and records required for the order. If a certificate is needed, name the requirement and ask the supplier to confirm its applicability and availability for the offered equipment. A company-level statement should not replace a check of the actual supply scope.
Coordinate export and packing information
Discuss packing arrangements, shipping marks and the export documents relevant to the agreed shipment. Requirements depend on the order, shipping terms and destination. Ask which documents G-Link supplies and which inputs your team must provide.
Keep the agreed list visible
Include the final documentation scope in the commercial and technical agreement. Record outstanding decisions and responsible parties. Bring your document list to G-Link so that it can be reviewed alongside your equipment quotation.
